General Meeting June 21, 2011

Meeting called to order by Jan McCleery, Captain of the DBWGC at 1:45 p.m. in the Fairway Grill area.
Motion to approve the Minutes from the last General Meeting, March15, 2011 was made by Cathy Fancey and seconded by Jenny Dillon.

Old Business: It is said by notice the board in the Pro Shop is the “Official” posting board. Upstairs in the locker room is a place for pictures and posting of business also. Email and web is also considered a way to submit and transmit business for the club.

By-law Change in September needed to be reposted as not enough time was given to posting. Article X
is now been amended to read with the blue print being added or in parenthesis “A quorum is required for any Bylaw changes (members in attendance plus absentee ballots).” A majority affirmative vote of the membership present “plus absentee ballots” shall be necessary for passage.

Question by Debbie Martin asked if the By-law change became in effect for nominee voting and for today’s votes. Jan explained that nominee voting was accepted by membership before September 2010 and was implemented for Board positions for the 2011 Board and for Tournament rules. The passage of the Bylaw will start after passage.

Motion to pass by Cathy Fancey and seconded by Cam Donald, 4 opposed, majority said aye. Motion passed.

WGANC Her’s and His Tournament is July 27 & 28 will be held at Discovery Bay and Brookside; split day play. [As a result of hosting a WGANC tournament here, DBWGC is exempt from hosting an Open Day for 2 years – this year and next.] As a result we will need support from men and women to work the tournament. We need men to greet and get bags from cars, check-ins and hole supervisors as well as 2 people standing by who are eligible to play if there are not enough people to supervise a twosome.

Hilary Frigillana explained that the score cards when the completed round was done went to the Rules table first then the score cards were delivered by volunteer to the scoring table.

Treasurers Report: Cathy Houston review the financial report and on the report was included the breakdown of the $75.00 annual dues.

Roster Committee: Cathy Fancey and Joanne Smith will be working on the rosters; Hilary Frigillana volunteered to join. Cam Donald feels the roster is perfect the way it was for 2011. Jan interjected that something more elaborate would need a budget allocation or next year a new budget vote. Explanation went on to include that most tournaments were self funding, guest day and Invitational included, but notwithstanding the budget is scaled back and thin.

Hilary Frigillana made a motion to vote on rosters to leave them they way they were produced for 2011. 6 voted to change and the majority voted to leave them as they were, but to include the most improved player, which was left out from the 2011 roster.

Judy Bartoli asked if 2 years ago we increased dues to $5.00 for the roster expense and the roster expense is only $2.46, where did the $2.54 go. Jan McCleery explained that in September 2009 it was voted in favor for the increase, March 2010 the increase came into effect, September 2010 voted on and passed by majority to scale back the roster due to printing and paper cost increases. Explained that even for $5.00 the spiral bound roster of old were going to cost more than $5.00 if done the same way. Jan McCleery stated regarding Judy Bartoli’s questions that the balance of the money was absorbed into the operating budget for trophies and sunshine.

Because of voting and the roster will stand as it did for 2011 a committee isn’t needed because the template is in place, but proof readers are needed so please volunteer.

Invitational: Beckie Carter reported on how things were shaping up. She passed around a signup sheet with shoe sized and it was necessary to either fill out shoe size or to check for the proper shoe size listed on the sheet. Gift certificated were doing well and many business locally were donating. Mary Watkins was contacted by Liberty High School Girls golf program and they would like to volunteer time to help at the Invitational. Pictures of Castlewood CC borrowed props of the Disney Castle were passed around. So far 26 ½ teams were signed up, an invitation will be sent out to the 9 hole Breakers to play.

Joanne Smith is collecting raffle prizes; preferably gift cards. Cam suggested gift cards from a national company for our guests so should they win, they could use the gift card.

Rally for the Cure: Cathy Fancey got together with Mark Tissot and Jon Miller and the official date for the Rally is October 18, 2011. The cost for the rally will be $43.00, the Club agrees to do the same as last year for food (breakfast, lunch & golf cart for $23.00) and $20.00 goes to the Rally. Sonja Welin will be head of the Food Committee, donations already are coming in, but lots yet to do, decorations, sponsors and signs, the 9 hole Breaker Club is donating $100.00. Also in need of male volunteers for horse race, men on the course marshalling when needed.

Cathy Fancey mad a motion to have the 18-hole DBWGC donate $100.00 sponsor money for the Rally, Sonja Welin seconded the motion, motion passed.

Tournament: Jill Chase reported on the outcome of the Handicap tournament and next year there may be an opportunity to improve the attendance with a change in format. To be discussed later.

New Business: Mary Watkins asked if we could donate money to Liberty High Girl’s Golf Team earlier since their season is going on now. Donna suggested bringing vote to the club to release funds earlier. Cathy Houston will make a donation now and later if there are enough funds. Cathy Fancey made a motion so if there was a $250.00 short fall of funds at the end of the year, awards would be limited. Cathy Surdez 2nd the motion. Motion passed.

Hillary spoke on the up-coming 25th Anniversary of DBWGC. 60% of the membership response and 100% of the ladies responded in favor of the celebration. Time and location was discussed; either after the golf play day and general meeting of Sept 13th or a separate evening Sept. 15th. A list of past members have been put together by Janet Brown and Sonja Welin. Mark Tissot gave a price to serve Champagne and servers, Hillary priced out cake and flowers, Mary Watkins and Janet Brown have offered to make a collage of photos at a cost of $225.00. Adding hors d’oeuvres will be an additional $10.00 per person. Hillary made a motion to go ahead with the 25th Anniversary celebration for September 15th, Cathy Fancey 2nd the motion, all ayes. A sign-up sheet will be posted; Becky Frazier has offered to design a special logo shirt for the occasion.

New Business: Raquel Myers, Bonnie Ladd and Sonja Welin thank everyone for their participation for Central Valley Team play, but next year they really need lower handicap players.

Motion to adjourn meeting at 2.55 p.m. All ayes, motion passed.

General Meeting Sept. 14, 2010

GENERAL MEETING
SEPTEMBER, 14, 2010

The meeting was called to order by Captain Donna Reich at 1:15p.m.

Donna asked for any corrections and/or additions to the July 13, 2010 General Meeting minutes. Sonya Welin requested a change to the minutes referencing her comment to read ”Sonya Welin and Kay Smith raised the question, “why we weren’t playing with our correct index and handicap as NCGA, WGANC and PW encourage and support the posting at the first and 15th of each month”. The correction was so noted, and will be made. Sandy Smith moved that we accept the minutes as written with the correction and Jan McCleery seconded. The motion passed.

Treasurer’s Report:
Cathy Houston reported that we have $9,959.73 in our account. We have about $3000 in expenses that will be due. We will also have the money coming in for the membership dues. She stated that we will probably go into 2011 with a budget around $10,000.

Jackie Amthauer motioned that we approved the budget and Liz Lord seconded. The motion passed.

INVITATIONAL:
Liz Lord reported that we made $1229.29 from the Invitational.

HANDICAP:
Dana Wardstrom stated that the Pro Shop will now be making our score cards, posting our scores and adjusting them. She told the ladies to be sure to adjust your scores before you hand your score card in.

TEAM PLAY:
Raquel Myers reported that there is a meeting of all of the Central Valley team captains on Oct. 20th. They will set up the scheduling for next year. Also, Raquel will have Kay Smith and Bonnie Ladd to help her with team play.
Becky Frazier is the captain for the Diablo team play. She was absent, but it was reported that our team came in in 4th place, in gross, in that league.

MEMBERSHIP:
Forms for membership and ballots were handed out. Fill out ONLY the changes you might have on the membership form (different cell phone number, etc.)

OLD BUSINESS:
Beckie Carter asked if our group may want to sponsor a hole for Rally for a Cure. Kay Smith motioned that we give $100 for the hole sponsor. Nancy Lencioni seconded. Sandy Smith asked if we could reconsider the amount and give $300. Sue Arlotta motioned that we amend the first motion and give $300. Janet Brown seconded. The motion passed.

Proposed Bylaw Changes:
1. Because the pro shop will be making our score cards and posting our scores, Donna proposed updating the Bylaws to make the Handicap Chairman’s audit responsibility more flexible: “Shall verify posting of scores by members ‘as deemed necessary’. Fran Shipilov moved that we accept the proposed Bylaw change and Dana Wardstrom seconded. The motion passed.

2. A previously approved ByLaw change of Article VIII. This would give us flexibility on which day we do have our play day. We need to change the wording to: “Unless otherwise specified, the day of competitive golf shall be Tuesday of each week, throughout the fiscal year, with the exception of holidays.” Beckie Carter moved that we accept this proposed change and Jan McCleery seconded. The motion passed.

3. Our Bylaws state that the team captains should change every two years. Because we have a hard time getting women to volunteer to captain our teams, it was suggested that we change the Bylaw to read: “In absence of volunteers for team play captains, the present captains may continue in their positions beyond the 2 year recommendation”. Shelly Morgan moved that we accept the change and Diane Sevim seconded. The motion passed.

Proposed Tournament Regulation Changes:
Rule #2: Since the pro shop will be doing our score cards, there needs to be a firm deadline of Sunday 10 AM to sign up or cancel playing on the following Tues. play day. The initial proposal was to change the Current Rule 2 which reads: Sign up or email before 2:00 p.m. Sunday, to read: you MUST sign up before Sunday noon. Fran stated that it needs to be 10 AM, not 2 PM because we’re now having the pro shop do our cards and posting . Kay Smith reported that most of the clubs’ pro shops are now doing the pairing and scorecards for their members’ groups. Sonja Welin was concerned that there’s quite a lot of time between Sunday noon and Tues. and maybe someone would be ill on Sun., but be feeling much better my Tues. morning and want to play. Fran said that if there are threesomes, then that person would be allowed to play. If not, they would have to follow the field and that it hasn’t been a problem in the past few years. A discussion followed. The group agreed to operate as recommended and give feedback if any issues arise.

Jan asked if we could stop using a paper sign-up sheet and sign-up by email. There was a discussion about using ForeTees (cannot as of now but the pro shop is looking into it). Brenda Reisinger asked if we could put the sign up sheet on our website. After discussion, the group wanted to move paperless sign-ups. Fran said that they would email sign ups for the next few weeks and see how it goes. If it goes well, we will continue to do it that way. Fran moved that we accept the change and Jan McCleery seconded. Motion passed.

Rule #6: A proposed change was provided based on the pro shop collecting the sweeps. Chip ins and closest to will be $1 each. The proposed change to the Bylaw, Rule 6 (a) and (b) will be: For regular play days, entry fees (sweeps) will be $2.00 for every player who plays, charged to the player’s account by the pro shop. There will be voluntary sign up sheets for chip-ins and “closest to the pin”. Liz Lord moved that we accept this change, Jan McCleery seconded. Motion passed.

Rule #7: The board recommended that Rule #7 be deleted because it is repetitive of Rule #5. Sue Arlotta moved that we accept the change and Kay Smith seconded. Motion passed.

Tournament Regulations:
Jan McCleery would like to make it easier for all of us to vote for Bylaw and tournament changes and raised the question of using absentee ballots for bylaw and tournament regulation and whether new bylaw changes raised as a motion from the floor and voted on should go into effect immediately same as the tournament regulations now are. Sandy Smith said that we HAVE to post the proposed changes for 2 weeks. That gives all of us a chance to read them. Jan proposed we add the ability to use absentee ballots for bylaw and tournament regulation changes. The motion was seconded. The motion passed.

Shelly Morgan suggested that if we have any questions, to use the WGANC. That’s their job and feel free to call them at any time.

Ballots:
Donna Reich read the slate of Board candidates and asked if there were any nominations from the floor. There were none. Ballots were distributed and collected. Cam Donald reported that there were 39 ballots plus 10 absentee ballots. 38 ballots were unanimous for the proposed officer slate.
Donna Reich reported that Diane Sevim and Beckie Carter will do the Invitational next year.

Rosters: Jan McCleery would like to cut down on the costs of the rosters. The current rosters cost around $390 even with Jan’s discount. She stated that a lot of the information is now on our website. We can make the rosters smaller and staple them together instead of having the spirals. Janet Brown would like to still see the names of the past Presidents in the roster. They were the ladies who started our group. It was decided to keep them as cheap as possible, with our addresses and calendar in larger print. We took a vote, the rosters will be stapled.

Fran reminded us of the upcoming Club Championship. So far, we have 5 members signed up. There’s a sign up sheet on our board and an envelope in our drawer for checks. It will be a gross score tournament.

There being no further business, the meeting was adjourned at 2:40 p.m.

Respectfully submitted,

Jeanne Zwemer, Secretary

General Meeting July 13, 2010

GENERAL MEETING
JULY 13, 2010

The meeting was called to order by Captain Donna Reich at 1:35 p.m. The required quorum of members was present.

The minutes of the General Meeting of March 16th were read and approved.

Treasurer’s Report:
Cathy Houston reported that our current balance is $15,017.72.

Tournament:
Fran Shipilov had three topics to discuss.

Pace of Play

  1. Fran reminded us that in some of the tournaments that we play on our playdays, it is okay to pick up if you’re out of the hole. Take the score that you think you might have gotten.
  2. Play ready ball…..be in position and ready to hit the ball when it’s your turn.
  3. When a player putts but doesn’t quite get to the hole, that player should continue to putt out.
  4. Keep up with the group in front of you.
  5. Write down the scores from the hole at the next hole.
  6. Have the rider in the cart keep the score.
  7. Wait until you reach the next hole to put your clubs in your bag.

Winter Hours
Joanne Smith mentioned that she played at Pine Mountain and they told her that they do have winter hours for their playdays. Fran had talked to John and Mark and they agreed that we could start play on 9:30 during the coldest months. Shelly Morgan made a motion that we start playing at 9:30 during the months of November-February. Sue Sharp seconded. The motion passed.

Proposed By-Law Change
Fran reported that our existing law for playdays states that we shall play on Tuesdays. Now that we have Saturday playdays, we should change the law so that it’s not so rigid. Have the law state that unless otherwise specified, playdays shall be on Tuesdays. Donna said that By-Law changes have to be posted. We can vote on this change at the September meeting.

Invitational: Liz Lord reported that she needs help with team buy outs. Sue Sharp volunteered to help.

There was a discussion on whether or not to put our names on the raffle tickets. This would enable the raffle to move along at a quicker pace. Hilary Frigillana suggested that we have someone pick the raffle tickets in the morning and display the winning numbers on a board. Kay Smith thought that this might take some of the excitement away. It was decided that we should write our names on the back of the tickets. The numbers and names will be called.

Liz thinks that we should lower the cost of the team buy-outs. It was decided that we will lower the cost from $100 to $60.

Team Play:
Becky Fraser reported that Diablo has 3 more matches to play. We are currently tied for 6th place.

Raquel Myers reported that we are in 3rd place in the Central Valley League.

Old Business:
Donna reported that we donated $500 to the Delta Community Services. They help local people who are homeless, or in need of help paying utilities, etc. She looked into the CY Youth Club and it is located in Concord. Donna would like us to vote on whether or not to keep our donations locally. Rose Viera stated that Hoffman sponsors a tournament every year that benefit’s the CYU. The club wondered if we would like to sponsor the tournament. Sue Sharp said that there are so many people in Brentwood who need help. Fran made a motion that the $250 be reallocated to the Delta Community Services. Sue Sharp seconded it. The motion passed.

Donna reported that Rally 4 a Cure needs raffle prizes.
Donna reminded us that anyone who plays in one of our tournaments has to have a GHIN number.

Donna stated that we do not have to turn in our score cards. We’re on the honor system. Sonja Welin said that we’re playing with incorrect handicaps because we don’t change them in the middle of each month. Jan McCleery said that it would be too much work for the tournament chair to have to do that. It was decided that we should use the handicap from the beginning of each month.

There being no further business, the meeting was adjourned at 2:25 p.m.
